Overview
Audio Related Technology were already getting value from Zoho Books, with customers and finance processes running well. The next step was to bring operational tracking and customer workflow into a modern system that could scale with them, while preserving their historic job information from a legacy database.
Sysology implemented Zoho CRM alongside Zoho Books, migrated the legacy data, and designed a structured process in CRM so the team could see where work sat at any moment and manage jobs more consistently.
The situation
Like many growing service businesses, Audio Related Technology had operational information split across multiple places. Finance lived in Zoho Books, while historic job and service information sat in an older Access and SQL style database with a basic web front end.
The legacy system contained important history, but it was limited, difficult to evolve, and not designed for the kind of visibility and process control the business now needed.
The challenges
Audio Related Technology needed a solution that would:
Bring job tracking into a modern platform with a clear process and consistent data capture
Preserve historic operational records by migrating them from the legacy database
Connect operational workflow with the existing Zoho Books customer and finance data
Create a structure that was easy to adopt, easy to maintain, and suitable for long term growth
Improve day to day visibility without making the story about struggle or failure

What Sysology delivered
Sysology delivered the project in a collaborative, largely remote format with focused stakeholder sessions and a practical prototype approach.
Discovery and process design
We ran stakeholder working sessions to map the real workflow, refine stages, and agree the data that mattered. We used visual mapping to turn a working process into a build plan, then iterated quickly with an early version in Zoho CRM for user testing and feedback.

We built Zoho CRM to support a structured job process, including clear stages and guided progression. The goal was simple: make it easy for the team to know what is happening, what is next, and what needs attention.
Legacy data migration and consolidation
A major part of the value was migrating historic records from the legacy database into Zoho CRM. This ensured Audio Related Technology kept their operational history in a system that can be searched, reported on, and improved over time.
Zoho Books connection
Because Zoho Books was already in use, we aligned CRM records with the existing Books customer data and ensured the CRM structure supported the operational and commercial journey cleanly.
Enablement and handover
We focused on making the team successful without dependency. The end result was a system the business could confidently extend, with an internal champion able to manage and evolve elements of the process going forward.
The outcome
After go live, Audio Related Technology had a modern operational system alongside Zoho Books, with historic activity migrated into CRM and a structured workflow in place for tracking jobs.
The business gained clearer visibility, more consistent handling of work, and a platform they could build on. Importantly, they became increasingly self sufficient, with the internal champion comfortable extending the system and maintaining the process as the business evolved.
